How to File GSTR-1 for Your Auto Spare Parts Shop: A Plain-English Guide
Every month, thousands of auto spare parts shop owners dread the same thing: GSTR-1 filing day. You scramble to collect invoices, call your CA, forward blurry WhatsApp photos of bills, and pray nothing is wrong.
It doesn’t have to be this way.
This guide explains GSTR-1 from scratch — what it is, what data you need, how to organise it, and how modern billing software can make the whole thing take less than 10 minutes.
What Is GSTR-1?
GSTR-1 is a return you file with the GST department every month (or quarter, if your turnover is under ₹1.5 crore). It lists all the outward supplies (sales) you made during that period.
Think of it as telling the government: “Here’s everyone I sold to, how much I charged them, and what GST I collected.”
Every registered business in India must file GSTR-1 — including your auto spare parts shop.
When is it due?
- Monthly filers: 11th of the following month
- Quarterly filers (QRMP scheme): 13th of the month after the quarter ends
Missing this date attracts a late fee of ₹50 per day (₹20 per day if your turnover is nil).
Why GSTR-1 Matters More Than You Think
Here’s the part most shop owners miss: your buyer’s Input Tax Credit (ITC) depends on your GSTR-1.
When you sell parts to a registered garage or another shop on credit, they claim the GST you charged them as ITC in their own GST return. But they can only do that if your invoice appears correctly in their GSTR-2B — which is populated from your GSTR-1.
If you file wrong, or file late, your B2B buyers lose ITC. And angry B2B buyers stop buying from you.
What Data Does GSTR-1 Require?
GSTR-1 has several tables. For a typical auto spare parts shop, you’ll mainly deal with:
Table 4: B2B Supplies
All sales made to GST-registered businesses (garages, other dealers, workshops with GSTIN).
For each invoice, you need:
- GSTIN of the buyer
- Invoice number and date
- Invoice value
- HSN code of goods sold
- Taxable value
- GST rate and amount (CGST + SGST or IGST)
- Whether it’s an interstate transaction
Table 5: B2C (Large)
Sales to unregistered buyers where the invoice value is over ₹2.5 lakh. These need full invoice-level details.
Table 7: B2C (Small)
All other sales to end consumers (your everyday retail customers). These are reported in bulk by state — not invoice by invoice. Much simpler.
Table 9: Amendments
Any corrections to previously filed invoices. If you made a mistake in last month’s return, this is where you fix it.
Table 12: HSN Summary
A summary of all goods sold, categorised by HSN code, quantity, and tax rate.
Common Auto Parts HSN Codes (Quick Reference)
| Part Type | HSN Code | GST Rate |
|---|---|---|
| Engine parts | 8409 | 28% |
| Filters (oil, air, fuel) | 8421 | 18% |
| Brake parts | 8708 | 18% |
| Tyres & tubes | 4011 | 28% |
| Batteries | 8507 | 18% |
| Lights / bulbs | 8512 | 18% |
| Lubricants | 2710 | 18% |
| Spark plugs | 8511 | 18% |
| Windshields | 7007 | 18% |
| Seat covers | 8714 | 18% |
Note: Always verify HSN codes with your CA for your specific products — this is a general guide.
Step-by-Step: How to File GSTR-1 Manually
Step 1: Collect all your sales invoices for the month
Separate them into:
- B2B invoices (to GST-registered buyers)
- B2C invoices (retail customers)
- Export invoices (if any)
Step 2: Log in to the GST portal
Go to gstin.gov.in → Services → Returns → GSTR-1
Step 3: Fill in B2B details (Table 4)
Enter each B2B invoice one by one. For each, enter the buyer’s GSTIN, invoice details, HSN, and GST breakdown.
Step 4: Fill in B2C summary (Table 7)
Add up all your retail sales, group by state, and enter the totals.
Step 5: Fill in HSN summary (Table 12)
List all distinct HSN codes, with quantity sold and total taxable value.
Step 6: Review and submit
Check all entries, preview the return, and file. You’ll get an ARN (Acknowledgement Reference Number) once submitted.
The Real Problem: Manual Filing Takes 4–6 Hours Per Month
If you’re doing the above manually, you’re spending half a working day just on GSTR-1 filing. Every month. That’s 72+ hours per year of you or your accountant’s time.
Here’s what happens at most small shops:
- Invoices are on Tally, handwritten, or WhatsApp chats
- Someone has to compile them (you or a staff member)
- Then the CA types them into the GST portal one by one
- Mistakes happen. Amendments become necessary
- The cycle repeats next month
How Billing Software Fixes This in Under 10 Minutes
When you use GST-compliant billing software like Wrenchly, every invoice you raise is automatically categorised:
- B2B or B2C? — determined by whether you entered a customer GSTIN
- Interstate or intrastate? — determined by the buyer’s state
- HSN code — pre-set on each inventory item
- GST rate — auto-applied from the HSN code
At month end, you go to Reports → GST → GSTR-1 → Export JSON.
The exported JSON file can be directly uploaded to the GST portal. Your CA doesn’t need any WhatsApp photos. No manual data entry. No errors from typing.
The entire process: under 10 minutes, including the CA’s review.
Tips to Avoid GSTR-1 Mistakes
- Always enter the correct GSTIN for B2B buyers — even one digit wrong means your buyer loses ITC
- Use consistent invoice numbering — GSTR-1 requires sequential, non-repeating invoice numbers
- Don’t forget credit notes — if you issued any, they go in Table 9B
- File on time — ₹50/day late fee adds up fast for a high-turnover shop
- Reconcile with GSTR-2B — check your purchases match what your suppliers filed
Quarterly vs Monthly: Which Should You Choose?
If your annual turnover is under ₹5 crore, you can opt for the QRMP scheme — Quarterly Return, Monthly Payment.
This means:
- You file GSTR-1 only once per quarter (not every month)
- But you still pay tax monthly via PMT-06 challan
For small auto parts shops with simple billing, QRMP can reduce the compliance burden significantly. Talk to your CA about whether it’s right for you.
Wrapping Up
GSTR-1 filing doesn’t have to be a fire drill every month. The key is having your sales data organised and categorised throughout the month — not scrambling at the end.
If you’re using billing software that automatically categorises each invoice as B2B or B2C, maps HSN codes, and exports GSTR-1-ready JSON, your monthly filing becomes a 10-minute task.
